Florida and Texas Insurance Inspection Forms, Built In

Straight answer on "official"
These forms are built to specific named official revisions, and the designation is printed on the page the inspector fills in — OIR-B1-1802 for wind mitigation, RCF-1 03 25 for roof, and TREC REI 7-6 (8/9/21) as adopted by reference under 22 TAC 535.223.
That is a statement about the format we follow. It is not a claim of state certification, agency approval or endorsement, and nothing in InspectorData submits, e-files or transmits anything to Citizens, an insurance carrier or TREC. You print or save the finished document and deliver it yourself.
How Do You Start One of These Forms?

Open the job, pick the form
From your dashboard or View Reports, open a job and the Start Inspection popup appears. Click Other Templates and choose the form you need. Each card carries its state badge.
Fill it in, already prefilled
Client name, property address and inspection date come across from the job. Your inspector name, license number and company name are pulled from your saved business profile.
Preview, check, sign, deliver
👁 Preview & Finalize opens the preview. The compliance list shows what is missing, you type your name to sign, and the report locks as finalized.
Why Do Wind Mitigation Reports Get Kicked Back?
Usually a missing photo. The OIR-B1-1802 form expects photographic support for the mitigation features you credited, and a report that arrives without it gets returned by the carrier. InspectorData checks for those photos before you sign, not after the agent calls you.
When you finalize a wind mitigation report, the compliance checker flags every gap it finds and names it plainly — including at least one photo required (OIR mandate) for each of five categories.
- Five mandated photo categories - Roof Deck, Roof-to-Wall, Roof Geometry, Secondary Water (SWR) and Opening Protection each need at least one photo.
- Identity and licensing - Owner name, property address, inspection date, inspector name, Florida license number and company name are all checked.
- Answered questions - Questions 1, 5, 6, 7 and 8 must have an answer, and question 9 must have an opening-protection level selected.
- Not the agent's fields - Policy and application numbers are deliberately not required. The insurance agent fills those in later, not you.
The check flags what is missing before you sign; it does not hard-block delivery. An inspector who knows better can tick I understand there are unresolved errors and want to finalize anyway. and proceed.
Is the TREC REI 7-6 Form Complete?
Yes. The Texas form encodes the full 42-item, 7-section taxonomy of TREC REI 7-6 (8/9/21), adopted by reference under 22 TAC 535.223, in the official order and with the official names — from STRUCTURAL SYSTEMS item I.A Foundations through section VII. Items are not reordered or renamed, because the form does not allow it.
- The official rating scheme - I, NI, (NP) Not Present and (D) Deficient, with the official deficiency language, including the optional-systems reference to 22 TAC 535.233.
- Its own finalize validator - Flags any item with no rating, any item marked Deficient with no comments, and multi-box selections that need an explanation.
- Licensing check - Reminds you if inspector name and license number are missing from your business profile.
- Full sections in official wording - Including ELECTRICAL SYSTEMS and HEATING, VENTILATION AND AIR CONDITIONING SYSTEMS.

Continue on Phone, Safely
On a saved desktop form, 📱 Continue on phone renders a QR code locally in your browser — no third-party QR service ever sees your link. The token behind it is 64 hex characters, single-use, expires in one hour, and is scoped to your company and that one record, with used_at and used_ip logged.
Photos From the Job Library
A shared photo rail pulls the job's existing mobile-app photos into named, form-specific categories by click or drag-and-drop, with ✨ Suggested for this section placement hints. If there are none yet, it tells you plainly: No photos for this job yet.
Rename 4-Point Photo Sections
Every 4-Point photo section label is renameable for your company and persists to the next report of that type. The underlying keys stay fixed, so renaming a section never orphans the photos already filed under it.
Live Desktop and Phone Sync
TREC, 4-Point, Roof and Wind poll every two seconds for two-way sync between the desktop tab and the phone, with a guard that will not clobber text you are actively typing. The mold beta does not have this yet.
Voice Dictation
A microphone button (🎤, tooltip Tap to dictate) on TREC, 4-Point, Roof and Wind appends what you say into the focused text field. It uses your browser's built-in speech recognition, so it needs Chrome, Edge or Safari — Firefox gets an explicit message instead.
One Draft, Three Doorways
Opening a form is resume-or-create. Coming back to the same job reopens the existing draft instead of spawning a duplicate, and the desktop tab, the mobile app picker and the QR link all land on the same record.
How Do You Finish and Deliver the Form?
From the form, 👁 Preview & Finalize opens the preview in a new tab. Hit ✓ Finalize and you get the compliance issue list plus the Sign & Lock Report panel.
- Typed signature lock - Type your full name, click ✓ Finalize & Lock, and the record flips from draft to finalized with finalized_at and signature_at timestamps. The page then reads ✓ Report finalized — ready to deliver.
- Print to PDF - 📥 Generate PDF & save to File Manager opens the preview and triggers your browser's print dialog. You pick Save as PDF (the Chrome and Edge default).
- File it to the job - Drag the saved file onto 📎 Drop the saved PDF here (or click to choose) and it lands in the job's File Manager as an inspection-form document, named after the property address.
- Signature is a typed name - Not a drawn e-signature. What is stored is the name you typed plus the timestamp it was typed at.
We are not going to oversell the PDF
There is no server-side PDF renderer here, and no one-click export. The PDF step is genuinely two manual actions: print to PDF from the preview page, then drag the downloaded file back onto the drop zone so it gets filed against the job.
It works, it is Chrome/Edge-friendly, and the upload caps at 25MB. But if a vendor tells you a PDF appears by magic, ask them to show you. We would rather you find this out on this page than on your first wind mit.
